The Payment Schedule That Keeps a Project Moving
Getting paid should not depend on courage, memory or a perfectly timed awkward email. Put the money into the project architecture.
PAYMENT IS A PROJECT CONDITION
A designer should not become a lender by accident. Yet that is what happens when work begins before deposits clear, procurement happens before client funds arrive, or invoices are sent only after a phase has already consumed the studio’s time.
A payment schedule is not a collection tactic. It is part of project planning. The earlier it is explained, the less emotional it becomes.
COLLECT A RETAINER BEFORE CAPACITY MOVES
When a project takes a place on your calendar, it is consuming a finite asset: studio capacity. The first payment should confirm the engagement before meaningful work begins. Whatever structure you use, make the trigger explicit in the agreement and the welcome process.
CONNECT INVOICES TO MILESTONES
Milestone billing gives both sides a visible reason for the invoice. A concept phase begins. A design development package is approved. Documentation starts. Installation approaches.
The exact percentages will vary by service model, but the principle is stable: money should arrive before the studio is deeply exposed on the next block of work.
KEEP PROCUREMENT MONEY SEPARATE
Furniture, materials, freight, taxes, receiving, and installation create cash-flow risk quickly. Do not use design-fee cash to float client purchases. Require cleared client funds before placing orders, and make the rule visible in writing.
If the client has not funded an item, the item is not ordered. That is not hostility. It is a clean business boundary.
AUTOMATE THE BORING PART
Invoices should have a due date, payment method, late-payment language, and an automatic reminder sequence. The more consistent the system, the less often you need to improvise tone. A reminder can be neutral because the policy already exists. “This invoice is due Friday” is easier to send when it is not a new negotiation every time.
STOP WORK BEFORE THE BALANCE BECOMES A CRISIS
Define what happens when an invoice is overdue. A short grace period may be appropriate. After that, the project pauses. Continuing to work through non-payment trains the project to treat payment as optional.
THE PRACTICE
Map every point in your current project where the studio becomes financially exposed. Then place a payment trigger before it. Getting paid gets easier when the system asks before you have to.
